Storage termsStorage terms archive management

Many companies are not or not sufficiently aware of the legal storage terms for documents. Even though determining the storage terms is your responsibility, of course we can advise you. For the greater part the storage terms are determined per company. The terms depend on the sector, the risk factors, the administrative organisation, etc. Thanks to our many years of experience we can help you investigate the legal demands which your company must meet and advise you about a storage term.

Determining the storage term is an integral part of an archive procedure (the archive procedure is the basis of the archive policy).

Archive destruction

The destruction of archive documents is done according to a meticulous procedure that starts by setting up a list of destruction. It is very important that the storage terms have been well documented. The owner of the archive, the department manager or the managing director must carefully check the list of destruction and sign for approval.

Confidential destruction

Confidential destruction starts with the written approval of the list of destruction. Then the specified archive documents are taken from the depot. A triple action is performed of which the last step is verification that leaves no room for error. Before we proceed to destruction we first need your confirmation. After destruction you will receive a written statement or certificate of ‘confidential destruction’.

For the actual destruction of the archive documents we collaborate with a specialised partner. Upon arrival our truck is immediately directed through a portal. During the unloading process the archive documents are directly placed onto a conveyor. Only when all archive documents have been transported to the destruction machine is the portal unblocked so the truck can leave.

Certificate of destruction

The certificate of destruction guarantees that the archive documents have been destroyed according to the DIN-32757 norm.

A CA+ certificate is only awarded to a company when it organises both logistics and destruction well.

Moreover, all activities must have been documented in procedures and described according to a quality care system that meets the norms of NEN-ISO 9001-2000.
